Business Relocation Services

 

The following is a description of the real estate project management services that we can offer for businesses that are relocating or acquiring/disposing of a property.

 

PRINCE2 methodologies will be tailored to suit the requirements as we support the key stakeholders to navigate effectively what can be a challenging period whilst the business needs to retain focus on “business as usual” activities. Typically this will entail a business case (summarising the main points the business needs to achieve), communication and risk management strategies, and appointment of the main project team and the creation of the project plan. Regular reporting (including full cost tracking and reporting) is included in the communication strategy.

 

Scoping the Requirements 

Working with the business to ensure that the correct brief can be supplied to the selected commercial real estate consultancy.

 

  • Space requirements (desks, offices and meeting spaces).

  • Location – geographical options, out of town, in town.

  • Parking provision and transportation options.

  • Staff amenities to be provided.

  • Rental budget and fit-out budget.

 

Appointing Acquisition Advisors and Fit-out Contractors 

If appointments are necessary these will be undertaken taking into account the corporate governance requirements and also the cultural fit for strategically important partners.

 

  • Advising on the best fit for the business from the local and national options for property acquisition.

  • Negotiating compensation rates.

  • Managing the appointment of a design and build fit-out contractor according to the current and future requirements of the business.

 

There is an advantage in appointing the main contractor early enough to advise on any issues with short-listed properties (e.g. site restrictions, potential M&E issues)

 

Agreement of Designs and Finishes 

Building the internal team, typically including HR, IT, Facilities and Marketing to agree the details of the scheme and achieve sign-off on a fully costed design.

 

  • Desk and office layouts.

  • Meeting room specifications.

  • Furniture choices.

  • Storage provision.

  • Finishes schedule.

  • Graphics and manifestations.

  • Staff welfare provision (showers, kitchen, tea points, leisure facilities).

 

Overseeing Site Works 

  • Attending regular site meetings.

  • Managing all variations and updating budgets.

  • Co-ordinating all communication between the business and the main contractors.

 

Employee Engagement

  • Working with HR to ensure that employees are updated on the project progress and minimising any anxiety over the changes.

  • Sharing design graphics and floor layouts.

  • Collecting feedback and responding accordingly.

 

Removals

  • Project managing the packing up of all items that will be relocated.

  • Arranging for the movement of difficult items (large items, specialist equipment, fire safe).

 

Office Clearance and Dilapidations

  • Clearance and disposal of items no longer wanted (shredding of papers, recycling of furniture and equipment, etc.)

  • Advising on dilapidations options and strategies (agreeing a payment or completing works)
